How to Pre-Tag a Document in BlueNotary Before Starting a Session

One of the most time-saving features on BlueNotary is the ability to pre-tag your documents before a notarization session even begins. Instead of placing signature blocks, initials, and dates live while a signer waits on the call, you can prepare everything in advance — so the session itself moves faster and feels more professional.
Here's a step-by-step walkthrough of how to do it.


Why Pre-Tag?

When you start a session and invite a signer right away, tagging happens live, which can slow down the call and create awkward pauses. Pre-tagging lets you:

  • Set up all signature, initial, and date fields ahead of time
  • Avoid delays or mistakes during the live session
  • Give the signer a smoother, faster experience once they join
  • Reuse tagged layouts for documents you handle often
  • Use AI to detect fields automatically instead of placing every tag by hand


Step 1: Start a New Session

From your BlueNotary dashboard, click New Session and select the session type you need. Upload the document you'll be notarizing at this stage, just as you normally would.


Step 2: Delay the Invitation

This is the key step. In the invitation workflow, schedule the session for later and then, instead of sending the invitation to the signer right away, look for the Advanced Options > Session Invitation > Pre-Tag First
Selecting this tells BlueNotary to hold off on notifying the signer until you've finished preparing the document.



Step 3: Tag the Document

With the invitation delayed, you'll be taken into the document editor. From here, drag and drop the fields you need directly onto the document:

  • Signature fields
  • Initials
  • Date fields
  • Name fields
  • Your notary seal placement

Position each element exactly where it needs to go, just as you would during a live session — except now there's no signer waiting on the other end.


Step 4: Save — the Invitation Sends Automatically

Once you've finished tagging and save your work, BlueNotary automatically sends the invitation to the signer. You don't need to trigger anything else manually.
