Create a Session as Business Admin
As a Business Pro admin, you can set up a notarization session for your client in a few minutes: click New Session, upload the document, add the signer, assign a notary, and send the invitation. Your client then gets an email with everything they need to join.
Business Pro is the plan for organizations that work with their own notaries. When you create a session, you decide whether one of your team notaries handles it or whether a notary from BlueNotary's on-demand network joins instead.
This guide walks through a Remote Online Notarization (RON) session. Other session types follow essentially the same steps: you just pick a different session type at the start
Before you start
Check these three things once, before your first session. After that, creating a session only takes the steps in the next section.
- A payment card on file. Add it to your Business account before inviting notaries. No charge is made when you add it; it is only billed for activity such as extra seats or session payments. See How to Add/Remove Notaries.
- Your notaries connected. If you will use your own team, each notary needs their own notary account linked to your Business account. Go to your Business dashboard, select Add Team Members, then Manage Notaries, choose their permissions and click Send Invite.
- Who pays for sessions. Go to Settings > Billing and set Charge all sessions to my business account. Enabled: your account pays for every new session, and this can't be changed per session. Disabled: the signer pays by default, and you can still pick Invoice Client on your own for a specific session. See Choose Who Pays for Your Sessions.
Step by step: create and send the session
- Start a new session. From your Business Pro dashboard, click New Session and choose the session type. For a standard notarization, pick Remote Online Notarization (RON).

- Upload the document. Select a presaved template, or drag and drop the PDF your client needs notarized, or browse your files.
- Add the participants. Enter the signer's details, and add a witness or observer only if the document requires one. Clients you work with often can be picked from your saved contacts instead of retyped.
- Need more than one signer? Tick Add Multiple Signers and enter each additional signer's email. Each extra signer is $5.

- Set the session details. Choose the options that apply, such as notarizing now or scheduling for a later time.
- Choose the notary. This is the most important step.
- My Team Notary: pick one of your connected notaries. The session appears on that notary's dashboard.
- On Demand Certified Notary: an available notary from BlueNotary's network joins and completes the notarization.

- Review and send. Check every detail, including who pays, then click Send Invitation.
Your scheduled session now appears in your dashboard, where you can follow its status.

What your client sees next
Your client receives an email invitation with the session details and a Get Started button. Let them know to have a government-issued ID, a device with a camera and microphone, and about 15 minutes.
- Device check. They test their camera, microphone and speakers, then click Join Session.
- Identity verification. They enter personal details and complete KBA questions or a biometric check, depending on the session.
- ID upload. They photograph or upload the front and back of their ID.
- Live session. The notary confirms their identity, reviews the document and guides them through signing.
- Download. Once the notary finalizes the session, the notarized document is ready to download.
With multiple signers, the primary signer verifies first. Each additional signer then gets their own email link and must join from a separate device. Source: How It Works – Signer View.
