How We Maintain and Retain the Electronic Notary Journal
Our platform securely maintains the electronic notary journal and all associated online notarization records using encrypted cloud-based storage. The system automatically logs and preserves required data such as the date, time, type of notarial act, document information, identity verification outcomes, the audio-video session, and digital signatures.
To ensure integrity and availability:
- Records are encrypted both in transit and at rest
- Automated backups protect against loss or tampering
- Access is restricted to authorized parties, with full audit tracking
- Data is stored redundantly for high availability and disaster recovery
We retain electronic notary journal entries and related online notarization records for the legally required duration. Unless a state specifies a longer period, records are maintained for at least 10 years from the date of the notarization.
If a notary’s commission ends, the notary will continue to have access to their retained records through the platform or may export them as required by state law.
Note: The recording may be downloaded at any time by signer or notary from the Documents or Journal page, respectively.
